Refund &
cancellation policy.

This policy explains how payments, cancellations, and refunds work when you engage Kode Studio for a website project, retainer, add-on, or Kode+ subscription. It forms part of the agreement between you (the client) and Kode Studio.

Accepted payment methods

We accept payment via:

All prices are quoted in South African Rand (ZAR). Paystack processing fees, where applicable, are absorbed by Kode Studio unless stated otherwise on your invoice. Kode Studio never stores your card details — these are handled directly and securely by Paystack.

Once-off website projects

Deposits

A 50% deposit is required before work begins, with the remaining 50% due on project delivery. For larger projects, payment may be split across three milestones instead. Deposits secure your place in our schedule and cover discovery, planning, and initial design work — for this reason, deposits are non-refundable once work has started.

Cancelling before work begins

If you cancel before any design or development work has started, your deposit will be refunded in full, less any Paystack transaction fees already incurred.

Cancelling mid-project

If you cancel after work has started, you will be invoiced for work completed to date at our standard rate of R350/hr, deducted from amounts already paid. Any remaining balance is refunded; if costs incurred exceed the amount paid, the difference is due before final files are released.

Final payment & refunds after delivery

Once a project is delivered, approved, and the final balance paid, the final payment is non-refundable. Revisions within the agreed scope are included at no extra cost; out-of-scope changes are quoted separately at R350/hr.

Retainers & ongoing support

Retainer plans are billed monthly in advance via bank EFT or Paystack. Monthly retainer payments are non-refundable once the billing period has begun, and unused hours do not roll over to the next month.

You may cancel a retainer at any time by giving 30 days' written notice by email. You'll continue to be billed, and supported, for the remainder of the notice period.

Kode+ & other subscription add-ons

Kode+ and other recurring add-ons (e.g. hosting, maintenance) are billed on a recurring basis via Paystack. You can cancel a subscription at any time by emailing us — cancellation stops future billing but does not refund the current billing period already paid for.

No refunds are given for partial months or unused portions of a billing cycle, except where required by law.

How refunds are processed

Approved refunds are returned to the original payment method — back to your card or Paystack instant EFT via Paystack, or via bank EFT to the account the original payment was made from. Please allow up to 10 business days for a refund to reflect, depending on your bank or card issuer.

If a payment was made by direct bank EFT, please include your proof of payment and banking details when requesting a refund so we can process it correctly.

Non-refundable items & disputes

If you believe a charge was made in error, please contact us within 7 days of the transaction so we can investigate before any bank or card dispute is raised.
